This document covers the public website and its contact form. The mobile app has separate documents.
Who is responsible
The controller is SIA “K.A.T. Group”, registration no. 40203598613, VAT no. LV40203598613, registered at Siena iela 7-23, Liepāja, LV-3401, Latvia. Contact us at info@pik-up.com for privacy questions or to exercise your rights.
What information is processed
The contact form collects your name, email address, subject, message and selected language. We also record when the message was received, your acknowledgement of this policy, and the internal reading and notification status. A unique submission identifier helps prevent duplicate messages.
Technical information such as IP address, request time and browser details may be processed in hosting and security logs when the website is accessed. The contact form does not request identity documents, payment details or sensitive personal information. Please include only what is needed to explain your enquiry.
Why we use this information
We use your contact details and message to respond to enquiries and discuss cooperation. Where you ask us to take steps before entering a contract, processing is based on Article 6(1)(b) GDPR. For other enquiries and website security, we rely on our legitimate interests in handling correspondence and maintaining a secure service under Article 6(1)(f). Relevant legal obligations may require processing under Article 6(1)(c).
Acknowledging this policy is not consent to marketing. We do not add contact-form senders to marketing lists. Optional language storage relies on your consent; you can withdraw it in Cookie settings without affecting prior lawful processing.
Who can access the data
Messages are recorded in our support administration and sent to info@pik-up.com for handling by authorised team members. Hosting, email and technical service providers may process the information where necessary to provide these services. Information may also be disclosed where required by law.
If processing involves transferring personal data outside the European Economic Area, the applicable GDPR transfer requirements must be met, such as an adequacy decision or appropriate safeguards. Contact us for information about the providers and safeguards relevant to your enquiry.
How long information is kept
Correspondence is kept for as long as needed to handle the enquiry and related follow-up. A longer period may be necessary to meet legal obligations or establish, exercise or defend legal claims. The criteria are the purpose of the enquiry, the need for continued correspondence and applicable legal requirements.
Browser storage has separate periods described in the cookie policy. You can request deletion of your correspondence; we will assess the request and explain any lawful reason for retaining it.
Cookie policy and storage periodsYour rights
Subject to the conditions in the GDPR, you may request access, correction, erasure or restriction of processing, object to processing based on legitimate interests, and request data portability where applicable. You may withdraw consent for optional storage at any time.
Email info@pik-up.com to make a request. We may ask for information reasonably needed to verify your identity. We normally respond within one month; where permitted by the GDPR, the period may be extended by up to two further months, with an explanation within the first month.
You may complain to Latvia’s Data State Inspectorate or the competent supervisory authority in your country of habitual residence, place of work or the alleged infringement.
